Waspy is built for team collaboration. Once you’ve set up your workspace, invite your support agents so everyone can work together in the shared WhatsApp inbox. This guide walks through the invitation process and explains how roles affect what each team member can do.

Understanding roles

Before inviting team members, decide which role each person should have:

AdminManage workspace settings, integrations, billing, and team members. Full inbox access.
AgentView and respond to conversations in the shared inbox. No access to settings.
Assign the Admin role only to people who need to manage your workspace configuration. Most support staff should be Agents.

Inviting agents

Go to Team settings

Sign in to Waspy, click Settings in the sidebar, then select Team.

Click Invite member

Click the Invite member button at the top of the team list.

Enter their email and role

Type the agent’s email address and select their role — Admin or Agent — from the dropdown.

Send the invitation

Click Send invitation. The agent receives an email with a link to join your workspace.
Invitations expire after 48 hours. If an agent doesn’t accept in time, resend the invitation from the Team settings page.

What the invitee sees

The invited agent receives an email from Waspy with a Join workspace link. Clicking it takes them to a page where they can:
  • Create a new Waspy account (if they don’t have one)
  • Sign in with an existing account
After accepting, they are added to your workspace and can immediately access the shared inbox.

Managing existing team members

From Settings > Team you can:
  • Change a member’s role — click the role badge next to their name to promote or demote them
  • Remove a member — click the menu next to their name and select Remove from workspace
Removing a team member immediately revokes their access. Any conversations assigned to them remain in the inbox and can be reassigned.
